Add exception (administrative) accounts to Outlook - UBmail (Exchange Online)

Account added as standalone account in Outlook

If the account is being added as a standalone account in Outlook (the password to the exception account is known).

In Outlook for Windows

  1. When prompted for the email address, it should be entered as itorgaccount@ubitmail.buffalo.edu (unless it still has a departmental domain, e.g., itorgaccount@provost.buffalo.edu), where itorgaccount is the name of the account you are trying to access.
    • If the itorg account is a member of an alias, the alias can be used here.
  2. Enter the password and click through the Outlook prompts.
  3. When you get the Windows security prompt you will use the itorgaccount@itorg.ad.buffalo.edu for the username (where itorgaccount is the name of the account you are trying to access), followed by the password for the account, and checking Remember My Credentials before proceeding.

In Outlook for Mac

  1. You will add a new account similar to adding a personal account.
  2. You will initially be prompted for the email address, enter it similar to itorgaccount@ubitmail.buffalo.edu (unless it still has a departmental domain, e.g., itorgaccount@provost.buffalo.edu), where itorgaccount is the name of the account you are trying to access.
    1. Enter the password and click through the Outlook prompts
    2. When you get the Windows security prompt you will use the itorgaccount@itorg.ad.buffalo.edu for the username (where itorgaccount is the name of the account you are trying to access), followed by the password for the account, and checking Remember My Credentials before proceeding
      • If the itorg account is a member of an alias, the alias can be used here
  3.  You will be directed to an Advance setup window, with the email address populated
    •  The itorgaccount@itorg.ad.buffalo.edu (where itorgaccount is the name of the account you are trying to access) will be entered in a DOMAIN\Username or email field
    • Enter the password in the password field
    • In the server field, enter outlook.office.com

Account added as administrative/shared account in Outlook

If the account is being added as an Administrative/Shared account in Outlook (the password to the exception account is NOT known, and access is provisioned via an administrative group).

In Outlook for Windows

When prompted for the email address, it should be entered as itorgaccount@ubitmail.buffalo.edu (unless it still has a departmental domain, e.g., itorgaccount@provost.buffalo.edu), where itorgaccount is the name of the account you are trying to access.

  • If the itorg account is a member of an alias, the alias can be used here

In Outlook for Mac

  1. Open Outlook for Mac
  2. Click Settings
  3. Select Advanced, then Delegates
  4. Under open  these additional mailboxes, click + (plus sign)
  5. Enter account name and select in the list
  6. Click Add, then OK
