When it’s time to pack up and leave your room or apartment, we’re here to help make the move-out process go as smoothly as possible.

On-Campus Housing Closes May 19 @ 5:00 p.m.

All Residence Halls and Apartments (with academic year agreements) will close on Sunday, May 19, 2024. You must be completely moved out and checked out before that time. 

All late stay requests must be received by May 15 @ 5:00 p.m.

All summer housing applications must be received by May 2.

Community Meetings

RAs and CAs will hold community meetings for all on-campus residents where detailed check-out and move out information will be reviewed. You are required to attend these meetings.

Quiet Hours During Finals

Please be considerate of other students during finals. 24-hour quiet hours begin on May 7, 2024 at 11 p.m. and will be strictly enforced until the halls and apartments are closed on May 19. Students who are particularly disruptive will face disciplinary action and will be immediately removed from the residence halls/apartments even if they are not finished with finals.

Checking Out of Your Room/Apartment

  1. Remove or dispose of all personal belongings, furniture, carpeting, and refrigerators.
  2. Dispose of furniture, refrigerators, and large pieces of carpeting by moving them to the loading docks/dumpster for pick up. Please dispose of these large belongings to avoid an unmanageable load of trash.
  3. Clean and sweep your room.
  4. After removing all your belongings from your room/apartment, you must return your room/apartment and mailbox key (if applicable) and complete appropriate paperwork at the following Check-Out Stations located in your hall or village office. Be sure to lock your door (bedroom/apartment) when you check-out.
  5. As you prepare to move out of your on-campus residence, please make sure to update your mailing address in the HUB Student Center (via MyUB). Rules and regulations about package forwarding are made by the individual vendor. For information on package forwarding after move out, please contact the agent that delivered your package. 
  6. Students who have lost their key(s) must still check-out. Please follow instructions at the checkout locations. DO NOT give your key(s) to your roommate or another student.
  7. Damage assessments will be made upon final inspection of rooms after move-out, which is after the final semester billing.  Students should check their student accounts for housing charges after moving out of their residence.

Remember to Check Out

Don't forget to check out. If you forgot to turn in your keys or left something in your room, please contact your area or complex office. Failure to return your key or check out of your room correctly may result in financial penalties. 

Work Orders

If something is broken in your room, please submit a Campus Living work order to have it repaired. Work orders can be submitted at the link below. Please note that this does not mean that you will not be billed for damages. Campus Living may decide to wait to repair the damage until after check-out.

Donations

Students are encouraged to participate in Sustainability efforts of Campus Living and UBReUSE. Please consider donating any unwanted items as you move out following the Spring 2024 semester. Items that are still in good condition for possible reuse would include clothing, non-perishable food, small refrigerators, throw rugs, storage containers, fans, and other small working electronics.

Students are asked to donate any clothing items to any one of the red Hearts for the Homeless Collection containers located throughout Campus Living properties. Items donated goes to the local community by helping the poor and homeless.

All other items may be brought to Greiner Hall B wing classrooms or any of the UBReUSE satellite donation locations. Please look for further information from UBReUSE as to where these locations will be.

Non-Perishable Food Items will also be collected and will be sent to the UB Blue Table Food Pantry, helping fellow students who have difficulty with access to food.

All items donated and collected will be evaluated by students of UBReUSE for possible resale and use by students moving on campus for the Fall 2024 semester.​

Don't Throw it Out!

Checklist for Move Out

Please complete this list to the best of your ability:

  • All Campus Living furniture is back in the room and properly placed.
  • All windows cleaned and screens are installed (not in need of repair).          
  • Venetian blinds are cleaned, installed, and in good working order.           
  • Posters are removed from walls and doors, including any nails, tape, tacks, etc.    
  • Walls and doors are free of soil and writing.                    
  • Closets are emptied and clean.
  • Wipe down all surfaces (mirrors, counter tops)
  • Sweep and clean floors, including baseboards)
  • Vacuum all carpets.             
  • Clean the oven/stove, microwave, refrigerator, and the dishwasher thoroughly
  • Clean surfaces and empty all cabinets (kitchen and bath), dressers, pedestals, and nightstand drawers.
  • The smoke detector is in working order.
  • All litter has been placed in trashcans.
  • All personal belongings have been removed from your room/apartment (personal refrigerators, furniture, carpets, etc.).
  • Turn off lights and air conditioning (if applicable) before you leave. Close and lock all windows.
  • Keep heat programmed between 68-72 degrees (if applicable)
  • Lock your bedroom door and front door to the apartment (if applicable)
  • Room/Apartment and Mailbox key – make sure you hand it in when checking out (Hall/Area or Village Office, respectively).

Moving Out Before May 19

Before May 19, all Ellicott residents will check out in the Ellicott Area Office.

Moving Cart Locations

Carts to assist you with moving out your items will be available for check out in your hall/complex office. You must return the cart to the office from which you obtained it.

Ellicott

Mail Forwarding

As you prepare to move out of your on-campus residence, please make sure to update your summer mailing address in the HUB Student Center (via MYUB).

  • Once in Hub, select "HUB Student Center" under quick links. 
  • After you are in HUB Student Center, select “Profile” from the main menu.  
  • Next, choose “Addresses” from the menu on the left.  
  • On the main screen, you will see all your addresses. Your “Mailing Address” is the address Campus Living will forward your mail when you move out.

Students who do not have a “Mailing Address” on file in HUB will have their mail forwarded to their permanent address.

Application for Late Stay

Students who need to stay in their room/apartment past 5:00 p.m. on Sunday, May 19, 2024 must apply and be approved for Late Stay Housing. The application is available in the Campus Living Housing Portal

Applications will open on April 15 @ 10:00 a.m. and are due no later than 5:00 p.m. on Wednesday, May 15, 2024. Students are not approved until they receive an email approval from Campus Living. 

Those students checking out after 5:00 p.m. on Sunday, May 19, 2024, without approved late stay housing will be assessed a $50.00 improper check out fee in addition to charges for damages, lost keys, etc.

Students approved for Late Stay housing will be billed a nightly charge from May 19 until they move out. The nightly charge is based on the 2023-2024 rate for their respective room type.

Don't Complete a Late Stay Application if You Need Summer Housing

Students who require summer housing and wish to move directly to their summer assignment from their spring room will request this option through the Summer Housing application. They should NOT complete a Late Stay Housing Application.

Applying for Late Stay Housing

  • Log into the Campus Living Housing Portal
  • Select “Move-in and Break Housing Requests” from the menu
  • Select the “Academic Year 2023-2024” term and hit continue
  • Choose your departure date (no later than 9 a.m. on Wednesday, May 22) and enter your reason

Eligibility Criteria for Late Stay Housing

Applications will only be approved if a student meets one of the criteria listed below:

  • Students who are graduating AND attending commencement ceremonies. Approved students must move out by 9:00 a.m. on Monday, May 20
  • Students who have an in-person academic requirement beyond May 19
  • Students who have an extenuating circumstance

Summer Housing

Housing applications will be available through the Campus Living Housing Portal beginning on April 10 @ 10:00 a.m. This online application must be completed by May 2, 2024. Rates, available dates, and eligibility requirements are found on the summer application website.

Spring residents may choose to move directly to their summer assignment from their spring assignment. If requested, residents will remain in their spring assignment and move to their summer assignment on Friday, May 24. Students must plan accordingly since this is the only date that direct moves from spring to summer housing are allowed. A nightly charge based on spring room type will apply until the move to summer school housing.

The earliest start date for anyone NOT moving directly to their summer assignment will be Monday, May 27 (residents must still move out by May 19 and remove all belongings).
