Sharing Supplier Feedback with Procurated

For departmental staff using contracted suppliers

Procurated is the University at Buffalo’s supplier performance feedback tool. UB is implementing Procurated to create a consistent, data‑driven way for campus users to share feedback on supplier performance. Your feedback helps Procurement Services improve supplier quality, service, and accountability for all UB departments.

For Orders Placed on Contracts

Procurated is used only for providing feedback on suppliers associated with orders placed on contracts. It does not replace existing procurement, purchasing, or ordering systems.

What is Procurated?

Procurated is used only for providing feedback on suppliers associated with orders placed on UB contracts. It does not replace existing procurement, purchasing, or ordering systems.

Why UB Is Using Procurated

UB is rolling out Procurated to solve ongoing challenges with gathering and using supplier feedback across campus. In the past, feedback was informal and scattered, which made it hard to use consistently in supplier management.

Procurated will help UB:

  • Set up one clear way to share feedback about supplier performance
  • Spot performance issues sooner and handle them more effectively
  • Use data to guide contract renewals and extensions
  • Build stronger supplier relationships by providing clear, documented feedback

Who Should Use Procurated?

Procurated is intended for departmental staff who place orders and work directly with suppliers on behalf of their departments, including administrative staff supporting departmental purchasing, unit business and finance staff and others who regularly interact with suppliers under UB contracts.

If you place orders using contracted suppliers and have firsthand experience with supplier performance, your feedback is valuable.

What Type of Feedback Is Collected?

Procurated captures structured, standardized feedback related to supplier performance on contracted orders, including areas such as:

  • Timeliness of delivery
  • Quality of goods or services
  • Accuracy of orders and invoices
  • Responsiveness and customer service

Feedback is based on actual experience with a supplier on a contract order, helping Procurement Services identify patterns, address issues, and support improvement discussions.

How to Share Feedback in Procurated

There are two ways departmental staff may provide feedback using Procurated:

Review Requests

You may receive a review request from Procurement Services or Business Services asking you to complete a supplier review. Requests are typically sent to ShopBlue users or contract stakeholders with recent experience working with a supplier.

These requests include a direct link to the supplier’s review page, making it easy to share feedback based on your recent experience.

Voluntary Reviews

Even if you do not receive a direct request, you may submit feedback at any time by visiting the UB Procurated landing page and selecting the appropriate supplier:

Voluntary reviews are encouraged when you have relevant experience working with a contract supplier and want to share feedback proactively.

How Procurated Is Used by Procurement Services

Feedback submitted through Procurated is reviewed and used by Procurement Services to:

  • Monitor supplier performance trends
  • Inform conversations with suppliers about service expectations
  • Support contract management and strategic procurement decisions
  • Maintain a closed feedback loop that encourages continuous improvement

Individual feedback is not used for purchasing approvals or compliance monitoring.

Questions?

If you have questions about Procurated, when to provide feedback, or whether a supplier is covered under a UB contract, please contact Procurement Services.

Training opportunities and additional guidance will be shared separately as the implementation continues.
