Early Access to UB Systems for State Faculty

Faculty may require access to certain UB systems prior to their appointment effective date. There are steps you can take, as an HR partner, to ensure access is granted ahead of time.

How to Receive Access

There are two steps to early access to UB systems for state faculty:

  1. Request a New Employee Welcome Packet (eNEW)
  2. Submit New Appointment ePTF
Reappointment or Rehire?

For reappointments or rehires within one year of separation date, please skip directly to step 2.

Timeline for Submission

Fall Appointments:

  1. Submit new appointment ePTF to central HR by July 1.
  2. Central HR will review – if complete and correct, it will be entered by August 1.

Spring Appointments:

  1. Submit new appointment ePTF to central HR by December 1.
  2. Central HR will review – if complete and correct, it will be entered by January 1.
  • Temporary appointments are terminated automatically at the end of the appointment and access will be removed within 13 days.
  • Term appointments do not automatically terminate and will retain access unless terminated.
  • A Term adjunct that is not reappointed will retain access for 4 consecutive semesters unless a termination is submitted.
