Final Exam: Create a Spreadsheet

Learn how to create a spreadsheet of final exam requests. Conforming to a standard template will ensure clarity, simplicity and consistency across all departments.

1. Run the SIRI report named Final Exam Request.

Click on Reports > Student > Class > Final Exam Request. If you have questions about how to run a SIRI report, please contact us.

2. Select the Term, Academic Group, Academic Organization or Subject, and Course Career.

Academic Organization, Subject and Course Career are not mandatory fields. If you don’t make a selection it will combine all applicable options in one report. You do not need to run the report twice to get the Undergrad and Graduate results. Once you have made your selections click “OK.”

3. Export to CSV.

Once the report appears scroll to the bottom of the screen and in the bottom left you will see four links. Click Export > Data > CSV Format. This will generate an unformatted file.

4. Save the file as a CSV file by clicking on “File – Save As.”

Name the file using the following format: Subject Term Year Final Exams (e.g., ART Spring 2018 Final Exams).

5. Review the column labeled “Final Exam.”

  • The value of Y means yes, there should be a final scheduled, and N means there should not be. Please do not make edits to this column.
  • To the right of this column, next to where it says Final Exam, you will see the Change To column. Indicate any class sections that have a Y that should have an N, or vice-versa. If no change is needed, leave it blank.
  • In the Special Requests column, indicate any special considerations the instructor requests for that exam (e.g., “Combine sections A & B”).
  • Update the column labeled “Asynchronous” to let us know if the online exams will not have a specific time associated with them, and students can complete the exam at any time during the specific day. If the exam is asynchronous, add a Y.

6. Email the completed spreadsheet to ubsched@buffalo.edu.

About Final Exam Scheduling

Department Schedulers Can Make Changes to Final Exams that Have Already Been Scheduled Up Until the First Week of Classes

  • Schedulers can make changes up until the first week of classes by submitting a ticket through the Department Scheduling System (OOR Ticketing System).
  • After the first week of classes, changes to final exams cannot be made without the signature of all students.
Exam days/times cannot be changed after the Friday of the first week of classes without 100% student agreement.

We cannot reschedule an exam if it is only due to preference, extenuating circumstances must exist.

Double Seating Is Not a Guarantee for Final Exam Seating

The Scheduling Office will do its best to accommodate double-seating requests (i.e., an empty desk between each student), but there are space and time constraints. Not all requests will be able to be honored or may require the use of multiple classrooms.

Final Exam Requests

  • Department Schedulers are responsible for ensuring that final exam information is submitted to the Office of the Registrar before the deadline so the final exam schedule can be created accurately.
  • These requests need to indicate whether each course will have a final exam, which is indicated by answering yes or no. Unless otherwise specified, an exam time will automatically be generated based on the class’s meeting pattern, and the exam will be placed in the class’s regular classroom.
  • Special requests may also be placed at this time. These include: 
    • Multiple sections combined into one exam
    • Double seating
    • Specific day and time
    • Avoid conflicts with other courses (e.g., students who take course A also take course B, so their exams cannot be scheduled at the same time).
  • Our office runs an automated process to schedule and seat final exams. Afterwards, we manually make adjustments for those who made special requests. This often requires deviating from the system-generated schedule, which necessarily introduces the potential for conflicts. We always try to minimize conflicts, but our tools for doing so are limited.
  • After exams are scheduled, our office asks department schedulers to review them for errors before the exam schedule is published.
  • The final exam schedule is published one week before classes start.

Non-Final Exams

During the semester:
  • Multiple exams on the same day are not a conflict.
  • Exam conflicts can occur only if a scheduled exam time overlaps with a scheduled class meeting time or another scheduled exam time.
