Artificial Intelligence Initiatives

UBIT continues to expand AI partnerships across academic, administrative, and research units, engaging more than 20 campus organizations in conversations about teaching, research, student success, and operational effectiveness. Beyond technology adoption, these discussions are creating new opportunities for business transformation as departments rethink longstanding processes and explore how AI can improve services and outcomes, with UBIT serving as a trusted guide for responsible adoption, experimentation, and implementation. AI has become a uniquely effective catalyst for cross-campus collaboration and innovation.

Enterprise Systems Modernization

UBIT partners with campus units to select replacements for enterprise document management and web content management systems that better serve the full university community. This includes partnership with University Communications on the purchase of Adobe AEM Sites cloud solution.

Enterprise Systems Modernization

TeamDynamix Implementation

UBIT led a cross-campus implementation of TeamDynamix, replacing more than nine disparate ticketing systems. The result is greater consistency, improved visibility, and a better service delivery experience for the campus community. 87% of IT units at UB are currently using TeamDynamix. Less than two years since its launch at UB, TeamDynamix has evolved into an enterprise-wide ticketing system to include non-IT departments across UB: four administrative units currently use it, with eight others joining as of August 2026.

Student/HR/Finance ERP Plan

UBIT is partnering with academic, administrative, and operational stakeholders to plan for the next generation of core university systems, with a current focus on HR and finance ERP needs. This work helps clarify institutional priorities and prepare UB for future modernization, including eventual planning for a new Student Information System.

  • Streamlined operations: Replaces manual and paper-based workflows with secure, automated digital processes.
  • Unified reporting and analytics: Connects human capital and financial data for stronger budgeting, forecasting, and cost management.
  • Improved customer experience: Consolidates legacy systems into a more modern platform for faculty and staff. 
  • Compliance and security: Simplifies alignment with labor, grant funding, and data privacy requirements.
  • Sustainable cost management: Reduces maintenance demands from outdated on-premises software while supporting institutional scale.

Hardware/Endpoint Standardization

UBIT works with university partners to optimize technology acquisition and identify standard hardware/endpoint device platforms that improve lifecycle management, supportability, and value realization. Through the Dell and Insight catalogs in ShopBlue, departments can purchase standardized hardware that is easier to support, manage, and replace while leveraging university pricing agreements. Between UBIT staff and UB's departments our team supports, we coordinated the procurement of 268 endpoint devices under this new process for UB staff in 2025-26.

ShopBlue Software & Web-Based Systems Purchasing

UBIT worked with UB Purchasing to develop an initial workflow for software and web-based systems purchasing. The process is being refined through UBIT trial use, with documentation and workflow optimization underway. The ShopBlue form helps ensure that software—free, paid, or cloud-based—is reviewed for accessibility, security, legal, support, and financial considerations before adoption. In 2025-26, UBIT processed 120 ShopBlue purchase orders for software and web-based services valued at $7.5 million. In addition, 542 software reviews were cleared between July 2025 and June 2026.

  • Cost efficiency: Encourages use of approved software and helps prevent redundant purchases.
  • Budget stewardship: Helps departments avoid overlapping tools and hidden recurring costs.
  • Centralized support: Improves troubleshooting and maintenance once approved software is supported through UBIT. 

IT Strategic Sourcing and Purchasing

UBIT continues to strengthen partnerships that align technology sourcing and buying decisions with institutional priorities and long-term value. UBIT now hosts ongoing strategic sourcing meetings with UB Purchasing, allowing our organization visibility into technology spending across the institution. Through these meetings, UBIT and UB Purchasing can review and determine if a centrally supported UBIT service meets the needs of campus community members instead of purchasing redundant tools or software. Strategic sourcing of multi-year contracts helps optimize total cost of ownership, reduce risk, and support long-term goals. UBIT is actively collaborating with Strategic Sourcing staff in the UB Procurement office on over 20 RFPs for IT projects and activities that are valued over $100,000.
