UB Box is a web-based file service tool available to authorized members of the University at Buffalo (UB, university). UB Box customers should be familiar with these Terms of Use, which govern access to and use of the UB Box service.
UB Box is an easy way to collaborate and store files. It is cloud-based and accessible from multiple devices with a secure UB login. As a university service, UB Box is subject to the terms of the Computing, Network and Telecommunications Usage Policy. UB reserves the right to remove or limit access to material posted on university services when applicable campus or university policies or codes, contractual obligations, or state or federal laws are violated. However, UB does not otherwise monitor the content of material posted on university services.
Storage of HIPAA regulated data and Category-1, Restricted Data in UB box must adhere to guidelines found in Storing Restricted Data in UB Box and receive approval from the Chief Information Security Officer. Failure to follow these guidelines is expressly prohibited and considered a violation of the UB box Terms of Use. UB Box is prohibited from storing any content subject to U.S. Export Control Laws. Copyrighted material must adhere to the requirements of applicable copyright laws.
UB Box is restricted to university-use only. The retention policy for deleted items is thirty (30) days. The university requires compliance with the Record Retention and Disposition Policy for specific periods of time in accordance with SUNY, state, federal and other legal and institutional requirements.
UB Box is to be used for “active” data (data that is used on a regular basis). Archiving or “backing up” data on UB Box is prohibited. UB box is not intended to be used as “backend storage” for servers or similar devices, such usage is not supported.
Upon separation from the university, UB Box accounts are terminated after notification to the customer in accordance with established policies. Any collaborative documents in personal space will no longer be available, and all account content and links will expire as part of the standard deactivation process.
UB Box services are restricted to active UB faculty, staff, and students, or collaborative partners. Access is granted upon login to the service.
Inappropriate use of the UB Box service may be reported to abuse@buffalo.edu.
Files stored on UB Box may be subject to the Freedom of Information Act (FOIA) requests for access and may need to be preserved to meet e-discovery requirements as outlined in the State University of New York Legal Proceeding Preparation (E-Discovery) Procedure. HIPAA, and Category 1 data is monitored according to Storing Restricted Data in UB Box.
UB Box service is available 24 x 7, excluding scheduled maintenance hours. Support for UB Box service is restricted to UBIT Help Center business hours.
