Quick Enroll

Perform a single enrollment action on a single student by indicating what enrollment action to perform and which, if any, overrides to apply.

1. Select the Quick Enroll a Student tab within the Enrollment tile in HUB.

Enter the person number in the ID field, career and term for which you want to perform an enrollment action.

2. On the Class Enrollment tab specify the action you want to perform and class section(s) on which to perform it.

  • Enter the 5-digit class number or use the magnifying glass to search.
  • The Related 1 and Related 2 field is necessary if the class is not set up to auto-enroll students in a multicomponent class.
    • For multicomponent classes set up with auto-enroll, students choose a LAB or REC component and are automatically placed in the LEC section that corresponds to it.

3. Click on the Units and Grade tab to view characteristics of the class related to grading, units (credits) and repeat codes.

  • In most cases, these values are set in the Course Catalog and will not need to be changed. The only time the values may change is if the course is variable credit.
  • Repeat code overrides are occasionally used when students repeat a course multiple times. Departments should always enter the RDFR (Department Force, Exclude GPA) repeat code as follows:
    • If the undergraduate student is repeating the class for a third or more time, enter RDFR in the Repeat Code Field to override the registration restriction. Refer to the undergraduate repeat code policy for additional information. 
    • If the graduate student is repeating the class for a fourth or more time, enter RDFR in the Repeat Code Field to override the registration restriction. Refer to the Graduate repeat code policy for additional information.
Repeat Code Definitions
  • RDFR - Department Force, Exclude GPA
  • REXP - Excessive attempts No GPA
  • RGPA - Repeated, Included in GPA
  • RNOG - Repeated, Excluded from GPA
  • RPRG - Permission, Included in GPA
  • RPRN - Permission, Excluded from GPA
  • RTRC - Transfer, Included in GPA
  • RTRN - Transfer, Excluded from GPA

4. Click on the General Overrides tab and check the appropriate boxes.

Guidelines for Checkboxes
  • These check boxes enable you to tell HUB to ignore a specific rule it would normally check that caused this enrollment action to fail.
  • These overrides should be used with care and good judgment, since they essentially circumvent established enrollment rules.
  • Multiple overrides can be used at the same time. However, you should only use the overrides necessary for the specific enrollment action you are attempting.
  • Understanding what each override does will allow you to perform such enrollment actions safely and successfully.
  • Override permissions are unique to individual users. Each user will have different override abilities.

Understand Each Checkbox

  • Appointment: Enroll a student before their enrollment window has begun.
  • Unit Load: Allow a student to exceed the maximum unit load for the term. 
    • For fall and spring terms, the maximum is 19 credits.
    • For winter, it is five credits.
    • For summer, the maximum is eight credits in a single session, 11 credits in two overlapping sessions, and 14 total credits for the summer term. Summer overlap credits have to go through exception registration.
    • Non-degree-seeking students can only take a maximum of 30 credits.
  • Time Conflict: Allow a student to enroll in classes with times that overlap. This should only be used in unique circumstances.
  • Action Date: Tells HUB to perform the enrollment action on the date specified instead of today’s date. This is not available for winter and summer terms.
  • Requisites: Enroll a student in a class even though they do not meet the pre- or co-requisites.

5. Click on Class Overrides and check the appropriate boxes.

  • This set of overrides is specific to the individual class and will allow you to override established permissions for courses.
  • Override permissions are unique to individual users. Each user will have different override abilities.

Understand Each Checkbox

  • Closed Class: Place a student in a closed section. For example, a class for which the enrollment capacity has been reached.
  • Class Permission: Enroll a student in a class section that requires permission of the instructor or department.
  • Wait List Okay: Place student on the wait list instead of directly into the class. This can only be done if the class has a wait list capacity with open seats on the wait list.

6. After you have completed filling out all the necessary fields, press the “Submit” button at the top of the screen to attempt the specified enrollment action.

After a brief moment, you will receive one of three messages:

  • Success: Your action was performed successfully.
  • Messages: Your action was performed successfully, but there is additional information HUB wants you to be aware of.  Click on the “Messages” link to view a message to review the additional information provided. 
  • Errors: Your attempted enrollment action failed. Click on the “Error” link to view a message detailing the reason it could not be completed.
