Class Enrollment Maintenance

Class Enrollment Maintenance is a tool designed to swap students from one section to one or more sections. The student must meet the criteria to be enrolled in the new class section.

For Multicomponent Courses, Use Block Enrollment

Class enrollment management only works for single component classes; moving enrollment between multicomponent courses must be done in Block Enrollment.

1. Select the Class Scheduling tile.

2. Select Class Enrollment Maintenance from the Class Scheduling sub-navigation menu.

3. Create a New Run Control ID or search for an existing Run Control ID.

  • This run control can be used repeatedly and is unique to each user. For example, ENG105_Class_Enrollment or MTH141_ClassEnrollment.
  • Note: when creating run controls, spaces are not allowed and underscores must be used.
  • Click on “Add A New Value” to create the Run Control ID and then click on “Add.”

4. On the Select Source Class tab, enter the search criteria for the source class and click on “Search” to populate the class information.

Click on “Clear Search” and “Grid” to clear search parameters.

5. Select the class from the search results by clicking on the appropriate select button.

6. Once a class is selected it will open the Class Enrollment Maintenance tab to choose Assignment Options.

Move Enrollments (select one)

  • Move All Enrollments: Moves all students from the Source Class Section to the Target Class Section(s).
  • Move Ovr Cap Enrollments: Moves only the enrollments that are above the Enrollment Capacity of the Source Class Section to the Target Class Section(s).
  • Move Specific Nbr: Moves the specified number of students from the Source Class Section to the Target Class Section(s).

Select Enrollments (select one)

  • Select Enrl by Last Enrl Dttm: Selects the students to move from the Source Class Section to the Target Class Section(s) on a last-in-first-out basis.
  • Randomly Select Enrlmnts: Randomly selects the students to move from the Source Class Section to the Target Class Section(s).

Fill Section (select one, if applicable)

Note:  This is required if there is more than one Target Class Section.

  • Fill Next Available Section: Fills the first available Class Section before progressing to the next Class Session.
  • Evenly Split Across Sections: Splits the students equally across the Target Class Sections, assigning each student in a round-robin to the next available Class Section until all students are moved or all Class Section Capacities are reached.

Atmpt to Resolve Time Conflicts

Leave this box checked to avoid time conflicts for students.

Exclude Neg Enrl SI Students

Excludes students with negative enrollment Service Indicators.

7. Select the Target Class section(s) by checking the boxes in the Select Target Class column.

Once the Assignment Options and Target Class sections are selected, use the Preview Enrollments button to review changes.

8. Review the results.

  • The results displayed are the students who will be moved from the Source Class Section to the Target Class Sections.
  • The Action Date defaults to the current date, and can be manually updated if necessary. Note: This date cannot be prior to the student's original enrollment date.
  • The time conflict box will be checked if the change creates a Time Conflict in the student’s schedule.

9. Click on the “Run” button at the top of the screen to process the changes, then click “OK” to return to the previous screen.

10. Scroll down to the Preview Enrollment section to verify if an Enrollment Request ID was generated and the error count was also updated.

The Enrollment Request ID can be used in Enrollment Request Search to investigate any errors, if necessary.
