Descriptions, Tags and Watermarking in UBbox

Descriptions

Any file or folder in UBbox can have a brief description, which can be viewed under the detail pane when in the folder or by clicking on the circled "i" in a folder listing.  The description field may be used to indicate the purpose or nature of an item to collaborators. You may see the option to add a description when creating or uploading an item. To add a description to an existing file or folder in UBbox enter the folder, click on “Details” on right side, enter the description in the "Description:" field.  Adding a description that indicates a folder contains restricted data is recommended but not required.

Tags

Tags may be used to provide a further visual indication of the restricted nature of data in a folder.  In the folder listing, click ... > More Actions > Add or Edit tags.  It is recommended that restricted data folder be tagged with the tag, Box Entrusted. Tags enhance search capabilities.

Watermarking

Watermarking can help deter unauthorized re-sharing of restricted information in your Box account. When watermarking is enabled, it places a semi-transparent overlay of the current viewer's email address or IP address (depending on whether the viewer is logged in or not), as well as time of access across the document's contents.  Watermarking is recommended, but it is not required.

To watermark an individual file

  1. Right-click on the file, or click on the file's ellipsis (...) menu, and navigate to More Actions > Watermarking
  2. Check the box next to Enable watermarking for this file and click Save

To watermark all files in a folder

  1. Click into the folder containing files you want to watermark.
  2. Click on the folder's ellipsis (...) menu, click on Settings
  3. Scroll down to the section titled Watermarking
  4. Check the box next to Enable watermarking for this folder and click Save Changes.
