Off Campus Lease Request

Review the procedure for requesting off-campus leased space and the expectations and responsibilities of the requesting unit, the Real Estate & Property Management office, and the UB Purchasing and Contracts unit.

Requestor's Responsibilities

  • Submit the completed Facilities Improvement Project form. Sections 4 and 6 contain the place to describe the information needed to process the Off-Campus Lease Request
    • Describe the type of space you are looking for and why you need it 
    • If no space is identified, include as much information as possible regarding your space needs. (Square footage, conference rooms, unique use rooms, labs, etc.)     
  • Justification of need

Only FPMOs can submit a Facilities Improvement Project Request

If the space is to be used as part of curriculum, Provost approval is required and must be attached to space request.

Real Estate & Property Management's Responsibilities

  • Space request documents received from Campus Planning
  • Work with requesting unit to identify a space that will suit their needs
  • Negotiate lease terms
    • Try to encourage landlord to use university agreement to minimize review and approval process
  • Identify market comparable data to support rental rate
  • Submit documents to Procurement for review and mark up

If the landlord insists on using their own lease, additional time may be required for review.

Purchasing and Contracts' Responsibilities

  • Lease mark up, verify all terms
  • Submit to SUNY Counsel for review
  • Obtain all signatures on documents
  • Submit to OSC for review and approval

Lead Time

Lead times will vary depending on the circumstances, but it takes approximately 14 weeks from the approval of the Facilities Improvement form.
