Requests for Student Data Loads to Third-Party Systems

If you need data loaded to a third-party system, we require specific information to fulfill that request.

Information to Include in Your Email

1. Name, title, office of requestor.

2. About the system.

  • Name & functionality of system.
  • How information is displayed in the system and to whom.
  • How information is used/business function served.
  • How does data get from InfoSource/HUB into the system? API, data feed, or some other method?

3. Accessing the third-party system.

  • Is any data publicly displayed such that access isn’t monitored/controlled?  If so, what info?
  • Type of authentication – SSO or separate log in or none.
  • Process and criteria for granting access to system/student data.
  • Regular review process of user access.

4. Data needs.

  • Fields required, additional fields desired.
  • Name – If Name is requested, chosen name will be provided unless legal name is necessary.  If legal name is necessary, justification is required.
  • If non-directory information is required, justification for business need; learn more about directory information.
  • If PII or sensitive data is requested, additional and specific justification for its necessity.
    • SSN
    • Race/ethnicity
    • Sex and/or Gender identity
    • Age/DOB

5. Requests for data where the Office of the Registrar is not the data custodian (such as Admissions, Student Accounts and Financial Aid) need approval through the appropriate area(s).
