The Program/Plan elements of the HUB system are the way a student’s decanal unit and major within that unit are organized.
About Program/Plan
The Program/Plan screen allows the user to:
Enter, update or view multiple majors or minors.
Enter, update or view subplans (concentrations).
View student historical record of programs, plans, subplans, degrees, degree status, degree honors, leaves and by Effective Date (EFFDT).
Enter, update or view Program Actions related to each entry (i.e., Completion of Program, Dismissal, Leave of Absence, Program Change, Plan Change or Administrative Withdrawal).
Keep This Information Up to Date
It is extremely important to keep this information up to date and accurate, as a significant number of other functions, including term activation, student accounts and reporting, use this information for actions and activities that affect the student’s record.
Matriculated Students Have One Billing Career
A matriculated student can be active in multiple careers within a term, pursuing divergent areas of interest. However, a matriculated student can only have a single billing career, which is used to determine what a student will be charged for a semester. In these cases, an administrator reviews the student’s academic plans, enrollment record and term activation screens to make the proper determination and coding on the student’s record.

Program/Plan Terminology and What They Mean
Credits are units.
Divisions are careers.
Plans are majors (either intended or approved).
Program/plan stacks are separate entries when multiple programs are pursued.
Programs are decanal units.
Sub-plans are concentrations.
Terms are semesters.

Program Plan Effective Dating
Most Program Plan changes are effective immediately, but there are scenarios where it should be future-dated or past-dated. To determine which date to use please refer to the below Program/Plan dates, as well as the Procedures Related to Undergraduate Major Changes.

For Leave of Absence, LEAV should be dated the “First Day After Term” of the term before their leave, and RLOA should be “First Day After Term” for the term(s) they were on leave (e.g., LOA for Fall 2020; LEAV 8/15/2020; RLOA 12/22/2020).
Whenever a student wants to change from one major to another, the date that should be used in the HUB system is the date that the departmental administrator is making the change (except for Business, Nursing and Architecture, which either use the beginning or end of term, depending on the student’s course load, due to fees attached to the major).
If a Student Moves from Program A to Program B OR Plan A to Plan B and It Does Not Involve a Business, Nursing or Architecture Change
If a student moves from Program A to Program B or Plan A to Plan B and it does not involve a Business, Nursing or Architecture change, the effective date that should be entered is the current date.
If a Student Is Changing Into Business, Nursing or Architecture
If a student is changing into Business, Nursing or Architecture, the effective date should be entered as the current date if the student is already enrolled in courses for that program, or it should be entered as the first day after the term if the student is not enrolled in any courses for that program. There are fees associated with these programs, and students will be charged for these fees if they become active in the program at any point during the term.
If a Student Is Changing Out of Business, Nursing or Architecture
If a student is changing out of Business, Nursing or Architecture, the effective date should be entered as the first day after the term if they are enrolled in courses towards the program. If the student is not enrolled in any coursework toward that program, the effective date should be entered as the current date. There are fees associated with these programs, and they will be removed from the student’s bill if they become inactive in the program at any point during the term.
Contact Us If There Are Negative Impacts
If you believe your unit is being adversely affected, please contact us, and we will explore options to minimize the impact.
For programs that utilize future effective dates, a student’s Academics tab in the Student Services Center will show their former major until the new effective date is reached, and their advisor assignment will also not be updated until that date. The Academic Advisement Report (AAR) will always reflect the highest (future) effective dated row.
As per the Financial Aid Office, students who are financial aid-eligible must have all major changes completed in HUB no later than 30 days after the end of student add/drop to be effective for the term when running the certification process.
When adding a new plan (major) to an existing program stack, update the plan requirement term to the current term of the change. This ensures that the student will see the most current curriculum of their AAR for the given plan.
3. Input the Person Number, Academic Career and Student Career Nbr.
The student career number should be the next number after any existing program stacks. If you are unsure of this number, return to step 2 and select “Search.”
4. You will be brought to the Student Program tab; fill out the Program action with “ACTV” and the action reason with “PGMP”; input the Academic Program the student is being changed into.
Please use the same “Admit Term” and “Requirement Term”.
6. Click “Save,” navigate back to the student’s Academics Tab where you can view the changes you made to the major under the student’s Program/Plan stack.
If you are changing a student into or out of the School of Management, Architecture and Planning or Nursing, the effective date for these changes needs to be made the day after the term ends. This ensures that students are properly billed fees. 6. Input the Academic Program the student is being changed into.
The Admit Term and Requirement Term will be cleared out by this action. Please use the same Admit Term and Requirement Term that were used before.
8. Select “OK”; this will take you back to the Academics Tab where you can view the changes you made to the student’s record under their Program/Plan stack.
7. Fill in the minor’s information on the new entry of the Student Plan tab.
Input minors at a plan sequence of 50 or higher.
When adding a new minor to an existing program stack, update the plan requirement term of the minor to the current term. This ensures that the student will see the most current curriculum of their AAR.
Note the following before discontinuing a student.
Access to DISC a student is limited. If you do not have access to DISC, change the program to Exploratory.
Please ensure that the student has resolved any future enrollments. Students should not be registered for courses on a discontinued Program/Plan stack.
A discontinue should not be placed on a student’s record during a semester they are enrolled in unless they have another Program/Plan stack that the term can point to.
If you are discontinuing a student from the School of Management, Architecture and Planning or Nursing, they must be discontinued the day after the end of the semester. This ensures that students are properly billed for their fees. 1. Begin by navigating to the Academic Advisors Tile and from there select “Student Service Center”.
2. Input the student’s person number and navigate to the Academics tab.
3. Select the Program/Plan stack that you would like to edit; select “Edit Program Data”.
6. Select “Ok”; this will take you back to the Academics tab where you can look at the status of the program / plan stack to ensure it was discontinued properly.
Students in approved programs will be allowed to matriculate in the summer term. The Dean of Undergraduate Education handles approval. Students in an approved program will have their admit term updated from fall to summer if they choose this option.
Only students admitted before the last summer add/drop date will have their admit term updated; students admitted after the last summer add/drop date will remain as fall admits.
Staff will update the admit term on the HUB program/plan screen utilizing the correct history function. A data change row will also be added to the program/plan screen with the code of Admit Change to Prior Summer. This action will, in turn, update the admissions data in HUB; data in Slate will not be updated.
The student’s career requirement term will remain as fall, so they are subject to the correct curriculum catalog year.
International Admissions will adjust the admit terms of international students for the purpose of generating an I-20; those students will not be affected by this process.
Departments receiving approval for summer matriculation are responsible for encouraging students to speak with a financial aid advisor to discuss the financial aid eligibility impacts as a result of an earlier matriculation term.
First-year students with summer admit terms will be counted as new in the fall official reporting.
