University Facilities is made up of several departments and is a vital partner to ensure a successful and safe event. University Facilities provides many services, which may be a billable expense, and requires at least a 2 weeks’ notice to secure your requested service.
When planning your event, it is important to also request custodial services, such as:
You may need to consider requesting dedicated custodial support during your event to maintain cleanliness.
We recommend requesting electrical support for the following:
Event planners can request available event supplies and services in advance of an event. Event-related items include lecterns, pop-ups/backdrops, chairs, tables, etc. You can request Moving Services to deliver, set-up, and pick-up the reserved event items and equipment. Based on your event location, they may also be available to move or rearrange existing furniture to accommodate your event.
Event signage is posted on campus event signposts (E-3) and is regulated by the Exterior Signage Policy. Event planners can request campus entrance signage to promote and help attendees get to and from their events.
The Grounds Maintenance department also supports event needs for both indoor and outdoor events. You should request Grounds support for the following:
You may need to request heating and cooling for room temperature adjustments during your event. We recommend that you alert Facilities of events, especially those occurring outside of normal business hours, to ensure that your venue remains at a comfortable temperature.
A notice is required if your event will impact the UB community, ensuring that all stakeholders are informed of any changes or disruptions. Please contact Kevin Godwin to issue a service announcement.
To request Facilities event services, please submit a work order. Event planners should include the event timeframe and other service details to ensure a seamless event.
