Cross-Registration

UB students can register for courses at participating colleges and universities throughout Western New York, as well as other SUNY institutions; students from those institutions can also register for courses at UB.

Western New York Consortium

The Western New York (WNY) Consortium is an agreement with colleges and universities in Western New York to facilitate the registration of students in participating institutions. The cross-registration calendar information can be found on the WNY Consortium Calendar.

SUNY Cross Registration

SUNY Cross Registration provides SUNY students with access to courses at other SUNY campuses.

UB Students: Cross-Register Elsewhere

Cross-registration is available for spring and fall terms only. Students may not cross-register during summer or winter sessions.

UB students may cross-register at participating institutions only for degree-applicable courses and only when one of the following applies:

  • An equivalent course is not available at UB.
  • The enrollment capacity has been reached in all UB offerings.
  • The student has a time conflict between two required courses that must be completed this semester.
  • The student has reached the limit for repeated attempts in the course.

In addition, other institutions may have restrictions on cross-registering students who are enrolling in certain courses.

Holds May Prevent Action

A hold is an action used by the university to prevent students from registering for or resigning from classes, receiving grades, and/or releasing student records, including diplomas, enrollment certification or transcripts, until the reason for the hold has been resolved with the office that placed it. 

The total number of credits for an undergraduate student’s registration (including UB and cross-registered courses) cannot exceed 19 credits per semester.

WNY Consortium

  • Undergraduate students cross-registering at a WNY Consortium school must be enrolled full-time.
  • Graduate students cross-registering at a WNY Consortium school must be enrolled for at least nine credits.
  • Students participating in the WNY Consortium may cross-register for one course.

SUNY Cross-Registration

  • UB students cross-registering at a SUNY school must be enrolled for at least six UB credits.
  • Students who cross-register at another SUNY institution may cross-register for up to six credit hours.

Only the University at Buffalo, State University College at Buffalo, Empire State University, and State University College at Fredonia permit graduate-level cross registration.

Enrollment at a community college requires proof of permanent residency in New York State for 12 months. Individual counties may have additional residency requirements. Students should check with the community college’s Bursar’s Office for further details.

The student is responsible for course fees associated with specific courses. Additionally, some community colleges may charge course registration or other course-related fees.

UB students who register for a course for which they were not approved may be charged by the other institution. Likewise, students who cross-register at UB will be charged by UB if they register for a course other than that for which they were approved.

Students wishing to drop or withdrawal from their course(s) at another institution must follow that institution’s rules and deadlines.

Cross-registration during a student’s final semester at UB may delay degree conferral, since credit will need to be transferred from that institution.

How to Cross-Register Elsewhere

Students who want to cross-register at another SUNY institution must complete the SUNY Cross-Registration process. Once submitted, the student’s academic advisor, a financial aid advisor and the Office of the Registrar will review the student’s request. If approved, the host institution will contact the student about their course registration.

Complete the Forms

Students who want to cross-register at a WNY Consortium institution must complete the WNY Consortium Cross-Registration form.

Meet with an Advisor

Students must then meet with an academic advisor in their academic department, who will determine if the course is required and whether an equivalent course is available at UB.

Get Approval from the Office of the Registrar

Once advisor approval is received, students must take the form to 1Capen or 1Diefendorf, where a representative will verify if the student meets the criteria for cross-registration.

Bring the Form to the Other Institution

Once approved by UB, the student must then bring the form to the other institution on the specific day(s) designated for students registering through the WNY Consortium (see the Cross-Registration Calendar or contact the Office of the Registrar at the host institution).

When a student reports to the other institution, the institution will use the form to create a record for that student. If there is space remaining in the course, the student will be able to register in the course. The student must then return the form to the Office of the Registrar.

Coursework Will Be Added as Transfer Credit to the Student’s UB Record

At the end of the semester, the institution attended will forward the student’s transcript to UB. UB will then add to the student’s record any coursework taken as transfer credit, which will be included in the calculation of the student’s transfer GPA and overall GPA, but not their UB GPA.

Non-UB Students: Cross-Register at UB

  •  Cross-registration is available for spring and fall terms only. 
  • Students are responsible for ensuring they meet the prerequisites and enrollment requirements for the UB course. If such requirements are not met, the cross-registration request will be denied.
  • Cross-registration enrollment is not permitted for tutorials, independent studies or impacted courses under the course enrollment control policy courses. The complete list of impacted courses is available on the Undergraduate Catalog.
  • Students cross-registering through the WNY Consortium should review the WNY Consortium Calendar.

If a student decides to drop or resign from the course at UB, deadlines will apply.

UB’s Office of the Registrar will communicate with the student’s home institution during the semester. If the student’s status and eligibility for cross-registration changes at their home school, they will be notified and billed for the course.

How to Cross-Register at UB

Complete the Appropriate Form

Students should complete the SUNY Cross Registration Form, or obtain and complete the WNY Consortium Form from the Registrar at their home institution. Students should also get any required information and approval from their home institution.

The Office of the Registrar Will Register and Contact Students

The Office of the Registrar will register all approved students in classes with seats available on the Friday prior to the start of classes. 

Students Will Be Notified Via Email Address That They Included on the Form

It is the student’s responsibility to check this email address regularly and drop the course if they no longer wish to complete the course at UB.

Once approved for cross-registration, students will receive information from our office regarding activating their UBITName.
