About Student Services Transformation

The Student Services Transformation (SST) Project has made substantial progress in implementing a student information system that will fundamentally change how student services are delivered at UB. This month’s progress includes the continued conversion of UB data into PeopleSoft’s Campus Solutions, conducting a learning event on financial aid functionality using a “mock” student, welcoming a new member to the Admissions Team and prototyping of the portal to the system, as well as continued testing and set-up for student billing and academic advisement.

The Student Services Transformation has made great progress over the past several months!

Over the course of the fall 2009 semester, we have continued to work on configuring the new student system; and are preparing to go-live with Course Catalog in the late spring 2010 semester. To support this event, (the first of six “go-lives”), we have created a comprehensive training plan that includes training scripts for all related functional transactions and processes. As the remaining functional modules progress toward their go-live dates, the module leads and training team will develop relevant training scripts and course materials; continue to test the results of the data conversion and modeling efforts; and making adjustments to our processes, when required.

Concurrent to the work being done with the functional elements of the system, we are reaching out to related areas across campus to help everyone transition to the new system, specifically in terms of end-user training for faculty, staff and students, and the adoption of new business processes.

Academic Advising Updates

August 2009

August has been an active month. We have begun mapping out program and plan requirements. We hope to start inputting our information into PeopleSoft soon, so that we can begin our validation and testing process of our built programs.

Admissions Updates

August 2009

The admissions team is continuing to make significant progress toward meeting our next milestone goal. This month, we welcomed Judah Lopez of the School of Social Work as a new member of the Admissions Core Team. Specifically, we focused our efforts in several key areas: data conversion/mapping, security, communication generation, and finalizing business case and functional specification documents for customization.

Campus Community Updates

August 2009

Campus Community is continuing to complete our tasks and meet our module milestones. Our initial configuration is done in the PeopleSoft system. We have completed our modeling of the initial configuration with help from members of the UB community. We are now compiling the group’s feedback.

Financial Aid Updates

August 2009

Recently, we had the opportunity to participate in a training and development event with the Financial Aid staff. During this half-day learning opportunity, we provided a brief overview of the financial aid functionality. Using a “mock” student, we activated the financial aid year, built a financial aid term, created a student’s financial aid budget and awarded a student a financial aid package.

Portal Updates

Our work on prototyping will continue through October 2009, as we use Enterprise Portal tools, features and security settings/mappings, while attempting to replicate or improve existing MyUB capabilities using only delivered options.

Student Financials Updates

August 2009

Over the past month, we have been working on several functional components of the Student Financials module. Our set-up activities include the tuition and college fee general ledger journals, tuition groups for study abroad and cross-registered students, as well as cashiering transactions. We have established the criteria for billing New York State tuition, IFR tuition and the various components of the comprehensive fee. We have begun preliminary runs for processing payments, voiding payments and posting third-party payments.

Student Records Updates

August 2009

We are winding down the configuration of the system for student records. Initially, there were over 50 tables that had to be configured in the PeopleSoft Campus Solutions System for Student Records. This included not only entering extensive data, but also selecting the myriad choices to have the system operate according to our rules. This has been extremely labor-intensive, but very illuminating about how the system operates. Many people have assisted in this effort, including Shelley Frederick, Sue Geib, Michelle Gonzalez, Mona Bogush, Elizabeth Stone, Philippa Radzawich, Priscilla Clarke, Mike Randall, Sandy Flash, Debbie Falter, Joseph Zambon, Athena Tsembelis, Bobby Jo LaDelfa, Katie Darling, Gayle Brazeau, Jennifer Hess, Mark Sauberan, Irene Holohan-Moyer, Jennifer Gottdiener, Janel Caleb and many others—forgive me if I omitted anyone—the number of names will continue to grow. The enthusiasm and effort are wonderful.
