Creating Teaching Volunteer or ITORG Exception Accounts for Webex

About Webex authorization

The centrally managed Webex group provides Webex authorization for UBITNames when logging in via ADFS. All active faculty, staff and students have membership in this group.

UBIT can also provide access to ITORG accounts created by departments and to teaching volunteers with AD accounts. Due to constraints on our Webex licensing, we ask that departments refrain from using ITORG accounts unless absolutely necessary. Webex allows people to delegate the scheduling of meetings.

Requesting AD accounts for teaching volunteers

Distributed IT/node administrators should create an exception group in the AD domain under their department OU named DeptPrefix_WebExADExceptions (e.g., LAWS_WebExADExceptions).

This group needs to be added to the central group by EIS:

  1. Open a service request ticket using the EIS request form.
  2. Under Service or Machine name, choose Active Directory.

Any volunteer UBIT accounts that are members of these departmental groups are authorized to use Webex. It generally takes an hour after the departmental group is added to the Central Group for the account to be available in Webex.  

Requesting ITORG exception accounts

Distributed IT/node administrators should create an exception group in their ITORG domain under their departmental OU named DeptPrefix_WebEx (e.g., LAWS_WebEx).

This group needs to be added to the central group by EIS:

  1. Open a service request ticket using the EIS request form.
  2. Under Service or Machine name, choose Active Directory.

Any ITORG accounts that are members of these departmental groups are authorized to use Webex. It generally takes an hour after the departmental group is added to the centrally managed group for the account to be available in Webex.

Requesting an Exchange Mailbox

Additionally, to use an ITORG account for Webex it must have a unique email address value. To request the creation of an Exchange mailbox:

  1. Open a service request ticket using the EIS request form.
  2. Under Service or Machine name, choose Email - Exchange.

Once an ITORG group is a member of the centrally managed Webex group, ITORG accounts with appropriate email addresses can be added and removed by the department as needed. To limit the number of Webex licenses used, please only include those ITORG accounts that require access.

Common Questions

Will deleting a volunteer or ITORG account delete messages or files shared through Webex Teams?

No.
