NeMLA Presenter Policies

Membership and Session Policies

  • Once you have confirmed your status as a panelist, please pay for NeMLA annual membership and convention registration by December 9.
  • A late fee of $25 will be added after December 9, 11:59 PM Eastern.
  • A late fee of $50 will be added after January 5, 11:59 PM Eastern.
  • Registrants at NeMLA can participate in only one session of each type and may present the same abstract on no more than one session regardless of type. If your abstract has been accepted in multiple sessions, please confirm with all chairs which session you picked. 
  • Presenters cannot present on two sessions of one type (panels and seminars are the same type). It is permissible to present a paper on a panel or seminar and also participate in a roundtable, workshop, creative, and/or poster session. Familiarize yourself with the types of sessions.

Audiovisual Requests and Wireless Internet

  • Please indicate whether you need A/V when you submit your paper abstract online.
  • Audiovisual equipment available for sessions include projectors, projector screens, and VGA cables. 
  • Please bring your own computer to connect via VGA to the projector.
  • Please bring a projector adapter with you.
  • Requests for computer speakers, audio cables, projector slide advancer remotes, and other technology should be directed to Administrative Support.
  • Internet access in breakout rooms is not guaranteed. You are welcome to use your own mobile device for Internet, including as a mobile hotspot/wireless router tether. Internet is usually available in each guest room and in the lobby. Hotel guests may need to sign up for the hotel's rewards or loyalty program prior to arrival to get free internet.


  • NeMLA does not allow papers to be read in absentia, via webcam, or other telecommunication regardless of circumstance.
  • Panelists should inform their chair as soon as possible if they intend to withdraw.
  • If chairs themselves are not able to attend, it is their responsibility to find someone else to chair the session and to email to alert us of the change.
  • Registration fees may be refunded if the convention participant emails of their need to withdraw from the program at least six weeks prior to the opening of the convention. Membership fees are non-refundable. A $25 service fee will be deducted from all registration refunds.


NeMLA encourages livetweeting our sessions but asks that you do so responsibly and with respect to our presenters: make sure to attribute the ideas to the speaker; and if you are planning to tweet more than 20% of the talk, ask permission from the presenter before doing so.

Certificates of Attendance

Many institutions require their faculty and staff presenting at conferences to submit paperwork confirming participation for reimbursement. NeMLA provides Certificates of Attendance and Participation by request only. Please email the following information:

  • your name
  • the title(s) of your presentation(s)
  • the name(s) of the session(s) in which you presented
  • the date(s) of your presentation(s)
