At UB, we understand that your housing needs may change. Unlike off-campus apartments, UB gives you the flexibility to cancel your housing agreement if you study abroad or leave the university. 

How to Cancel Your Housing Agreement

The deadline to cancel your housing application is May 1 for fall applicants and Dec. 1 for spring applicants.

Future Housing Application or Agreement

May 1 for fall applicants (Dec. 1 for spring applicants)

  • There is no financial penalty to cancel your housing agreement as long as the request is submitted, through our cancellation form, to the Housing Operations Office (106 Red Jacket) before the appropriate deadline.

Spring Early Release Request

For Spring 2019 Applicants, the deadline to cancel your spring 2019 housing application was Dec. 1.  If you wish to request a release from your housing agreement, complete the Application for Early Release form.  Submission of the form does not guarantee you will be released.

Current Housing Application or Agreement

Pre-Occupancy

After the cancellation deadline, only those students who are officially withdrawing or taking a leave of absence from the university for the fall semester may be released from their housing agreement prior to occupancy. Those approved after the deadline will be assessed a $300 late cancellation charge. Your housing deposit will be applied toward this charge if applicable.

  • If you remain enrolled at UB, you will not be able to cancel your agreement.

Post-Occupancy

If you are not returning to UB or are looking to break your housing agreement, you must submit an early release request. You can request to be release from your agreement at the end of the fall semester, or immediately. (Please note that immediate releases are typically only allowed if there are rare and extenuating circumstances.)

We usually only approve housing agreement breaks (early release) at the end of the fall semester, and typically only for the following reasons:

  • Graduation
  • Study abroad
  • Academic internship away from the Western New York area
  • Withdrawal from the university
  • Military deployment
  • Marriage (if your spouse will be joining you in the Buffalo area)
  • Transferring to another school

An early release may also be considered if you have serious unforeseen issues, including a major change in:

  • Health-related circumstances (must be documented and confirmed by your medical care provider or Health Services)
  • Financial circumstances (must be documented and confirmed by financial aid officials; please note that a job recommendation may be offered to assist with financial problems; learn more about Financial Aid)

The instances above are only approved in rare circumstances.  You are not allowed to cancel your housing agreement after move-in simply because you do not like your housing assignment, roommate, or you decide to commute from home. Application for Early Release

If you wish to request a release from your housing agreement, complete the Application for Early Release form.  Submission of the form does not guarantee a release from your housing agreement.

Summer Housing

Qualifications

You must be a UB student with a valid UB person number to qualify for summer student housing. Non-UB  students may only apply for UB Affiliate housing. Applicants must also be registered for classes during any UB summer session or be participating in an approved on-campus activity.

Cancellation

Students can cancel summer housing anytime up until May 1 without obligation. After May 1, students may only cancel with approved documentation. 

  • Students canceling after May 1 but before check-in must submit their form and upload documentation showing that they are no longer attending summer school or an approved on-campus activity. For example, if no longer attending UB summer school,  attach a screen-shot from HUB showing no summer course registration. 
  • If students are "no shows" for their requested move-in date, we will e-mail them a reminder that they must complete a cancellation form with documentation noted above. We will not cancel/refund housing for students who fail to submit a cancellation form with acceptable documentation.
  • If there is some other reason for canceling while still attending classes or UB activity, we will consider other documentation relating to personal or financial issues. 

Summer Housing Application for Early Release (cancellation after move-in)

  • If no longer attending classes or participating in an on-campus activity, students may submit a Summer Application for Early Release (AFER) and upload valid documentation (such as HUB screen showing dropped/no classes or letter from program/activity official). 
  • If AFER is approved, housing charges will be pro-rated based on actual move-out date. 
  • If there is some other reason for requiring early release while still attending classes or on-campus activity,, we will consider documentation relating to personal or financial issues. 
  • We will not pro-rate housing charges for students who fail to submit an AFER form with acceptable documentation.

Housing agreement cancellation requests are not guaranteed. However, academic reasons are given full consideration. If you are released from your housing agreement, an early release charge may apply. Please see your housing agreement for additional details.
