When preparing to move labs or offices it is important to remember that nothing should be left behind. Follow these best practices when getting ready to move lab or office assets.

How Best Practices Help

By following these best practices you can be sure that:

  • All assets are appropriately tracked within the SUNY asset management system as required by both state and federal policy.
  • Functional assets do not sit idle and broken, obsolete assets are disposed of appropriately.
  • Faculty, staff, students and members of the public are not needlessly exposed to potentially dangerous materials, and that all regulated materials are disposed of properly.

Moving Assets

Complete the Inventory Data Change form or contact Asset Management directly with a list of the assets that are planning to be moved.

Laboratories and equipment in which hazardous material have been used must be decontaminated prior to vacating the space.

Assets Not Moved

Broken or obsolete assets should be disposed of by completing the Disposal of Equipment Form and if necessary the Laboratory Equipment Release Certification.

No items may be left in the hallway.  Read more on the Corridor use Policy.

Transferring Assets

Assets that are transferred to another department should complete the Inventory Data Change form or contact Asset Management directly.

Additional Items to Consider

  • If interested in recouping costs for assets transferred please contact Asset Management for authorization and current value of the asset.
  • When reviewing your assets if an asset has been stolen please contact University Police and Asset Management to report.
  • Be sure to provide Asset Management with all of requested information on any new assets purchased so that they can be appropriately tagged and classified.
