Moving to UBmail for Students

If you change your status at UB to a student or alumni, you will need to move to UBmail for Students.

30-Day Window

In most cases, once IT staff has activated your new email account you will have 30 days to move messages and contacts out of your old email account. Sometimes your new department's IT staff will make these changes for you. Check with them before following the steps below.

1. Use an Email Client to Move Your Email Folders

  1. Open Outlook (you cannot use OWA, you must use the Outlook email client).
  2. Create a temporary account to be used only as you move messages out of UBmail for faculty and staff. You can auto-configure the settings:
    1. Click File
    2. Click Add Account
    3. In their respective fields, enter:
      • Your name
      • Your email address
      • Your UBIT password
      • Confirm your UBIT password
    4. Click Next
    5. Click Allow
  3. Create a second, permanent account in your email client for your new primary mailbox
    1. In your email client, create an account called "UBmail for students"
    2. Set up UBmail for students following the directions for your email client
    3. Move your folders (labels) from "Old UBmail for faculty and staff" to your new "UBmail for students"
    4. Delete the "Old UBmail for faculty and staff" once all mail and folders have been moved

2. Move Your Contacts

Learn how to export contacts from Outlook:

Note: If you are using Outlook for your new account, you may skip this step.

To export contacts from another email client:

  1. Refer to your email client's instructions for exporting your contacts
  2. Import the resulting file into your new email client

3. Recreate Your Settings

Follow instructions for your email client to update the following as desired:

  • Spam filters
  • Vacation (Out of office) messages
  • Signature files
