Uploading Files in UB Stream

Video files uploaded are automatically converted into the popular .mp4 file format and audio files to .mp3, making them viewable across many platforms.

Locate and Upload Your Audio or Video

The Media Library will let you upload your audio or video files in various formats shown on the upload page including: .mov, .avi, .wmv, .flv, .mpg, .mp4, .mp3, .wav, .wma, .mpeg, .mkv,.m4v,. 3gp and .webm.

  1. Select a file by clicking Upload on the toolbar.
  2. Click Browse to find your file. A progress bar will show the percentage of the file that has been uploaded.
  3. Once the upload completes, click Next to enter the details of the video's metadata.

Enter Metadata

Add the audio or video metadata, including Title, Description and Tags.  The more metadata you add the easier it will be for you and others to find.

  1. Enter a Title which should include any information that might potentially be used to search for your audio or video.
  2. Select a Category:
    • Personal:
      • Not searchable from the portal
      • Only owner can view
      • People with the link cannot view
      • Link can be added to UBlearns with Mashup tool
      • Download not available from UBlearns
    • Personal with Public Access Enabled:
      • Not serachable from the portal
      • Only people with the link can view
      • Link can be added to UBlearns with Mashup tool or the URL
      • Download available from UBlearns
      • Link can be shared
    • World Viewable:
      • Searchable from the portal
      • Can be viewed from the portal
      • Anyone with the link can view
      • Link can be added to UBlearns with Mashup tool or the URL
      • Download available from UBlearns
      • Link can be shared
      • Media will cease to appear in the media owner's Personal section. It will continue to appear in the My Content section.
      • Other people can incorporate UB Restricted videos in UBlearns using the publicly available URL
    • UB Restricted:
      • Only searchable in portal if logged in with UBITName
      • Only viewable in portal and elsewhere if the person is logged in with UBITName
      • Link can be added to UBlearns with the Mashup tool or the URL
      • Download not available from UBlearns
      • Link can be shared, but viewers will be asked to log in with UBITName
      • Media will cease to appear in the media owner's Personal section. It will continue to appear in the My Content section
      • Other people can incorporate UB Restricted videos in UBlearns via the Mashup tool or with the URL
  3. Enter a Description. A description should be concise, easily searchable, might include a link to relevant information somewhere on the University’s website, and give credit to collaborators.
  4. Select Tags. When creating tags think about tags that might make it easier for you and others to find your media. Consider using synonyms and misspellings of words that users may use to search.
  5. Click Next.

Thumbnails

  1. Select a Thumbnail from the eight random thumbnails automatically extracted.
    • Once the whole file has been uploaded, the system will begin to extract thumbnails. Please wait for the thumbnails to appear on the page - a "Loading Thumbnails" icon will appear in the interim.
  2. If thumbnails are not extracted or if you would like to use your own image, click Browse to upload an image.
    • Images for thumbnails should be 640W x 480H or 320W x 204H; the format must be jpg, png or gif.
  3. Click Next.

Captions

To add a Captions File (optional), click Browse to find and upload it.

The maximum upload size for caption files is 2MB, with a maximum of one caption file per video at this time. Allowed file extensions are srt, vtt, dfxp. Files can also be created using Notepad or TextEdit, saving them with the allowed file extensions.

Associated Files and URLs

You may add a maximum of three files to be presented with each audio or video (10MB limit per file). Allowed file extensions: *.doc;*.docx;*.gif;*.htm;*.jpg;*.mp3;*.pdf;*.ppt;*.pptx;*.swf;*.txt;*.xls;*.xlsx;*.zip.

  1. Start typing a Title for your Associated file or URL
    • The text in this title field is what viewers will see.
  2. Click Browse to locate the file. 
  3. Check the URL box to add a web address/URL in the field that opens up the site.
  4. Click Finish. The Content Manager page will display file encoding progress.  

Media Processing

After you submit your file for upload you will be taken to the Content page. From here you may view the progress of your upload. 

Please note: the system may have a queue of files that it's working on so it may take some time for your file to process.

When your upload is complete you will receive an email providing you a link to your audio or video. Save this email. When you first upload a audio or video file it will not be available for public viewing. The link and embed code for the file will only be in the email sent from the UB Stream system.

If your upload fails, you will also receive an email.

Common Questions

What if my file format is not available?

If your video is not in one of the supported formats listed above, and you cannot export to one of these formats, you may use Handbrake (PC, Mac, Linux) or Any Video Converter (Mac only), free video conversion programs available online.

Why does my video have false for encoding in the Media Listing?

This is not an error; if the encoding fails, you will receive an email letting you know.

What is my account storage limit on UB Stream?

Why was my video not uploaded successfully?

On rare occasions some files will not be encoded by the system and you recieve an email to notify you.

This can be for a variety of reasons mainly to do with the audio and video codecs contained in your video file.  We recommend trying to upload your video again.
