Move from UBmail (Central Email) to UBmail Powered by Google

30-Day Window

In most cases, once IT staff has activated your new email account you have 30 days to move messages and contacts out of your old email account. Sometimes your department's IT staff will make these changes for you. Look up your IT staff and check with them before following the steps below.

1. Move Your Messages

Method 1: Forward each message to yourself individually

  1. After your account is switched, visit
  2. Enter your UBITName and password
  3. Forward each message to your email address.

Method 2: Use an email client to move your email folders

  1. Download and install a UB-supported email client, such as Outlook or Thunderbird (if you don't already have one)
  2. Open your email client
  3. Create a temporary account to be used only as you move messages out of your secondary mailbox. Use the following settings:
    • Name the account "Old UBmail"
    • Username: your UBITName
    • Incoming server:, port 993
    • Incoming client setting: SSL (No exceptions)
    • Outgoing server:, port 25
    • Outgoing client setting: TLS and port 25 or SSL and port 465
  4. Create a second, permanent account in your email client for your new primary mailbox:
    1. In a Web browser, Follow Google's instructions to Enable IMAP in Google
    2. Back in your email client, create an account called "UBmail Powered by Google"
    3. Enter the IMAP settings for Google
    4. Move your folders (labels) from "Old UBmail" to your new "UBmail Powered by Google" account
    5. Delete the "Old UBmail" once all mail and folders have been moved

2. Move Your Contacts

Note: If you are using the same email client for your new account, you may skip this step.

3. Recreate Your Settings

Follow instructions for your email client to update the following as desired:

  1. Spam filters
  2. Forwarding rules
  3. Vacation (Out of office) messages
  4. Signature files
