Using the RoomWizard to Schedule a Collaborative Learning Space

Discover how to navigate the settings of the RoomWizard to reserve a collaborative learning space. Learn how to modify or cancel a reservation.

Scheduling a Room

  1. Consult the library schedule to determine library hours. While the scheduler displays 24 hour periods and allows you to reserve any time in that 24 hour period, rooms can only be reserved for 2-hour time slots when the library is open.
  2. Open the Room Wizard:
  3. Select your desired day, month and year. Reservations may be made up to one week in advance.
  4. Click on an unbooked time (not red) during hours when the library is open. Not all unbooked times are during library hours. Your reservation should not exceed a 2-hour time period.
  5. Complete the information requested.
  6. Enter your name for Host. When you hover over an online reservation, the host's name is displayed.
  7. Enter your email address and select E-mail receipt so you get a confirmation.
  8. Enter the UBITNames of your colleagues and click Check Names. Each UBITName will be converted to a real name.
  9. Select Send details of reservation to attendees. Your invitees will receive a meeting confirmation.
  10. IT IS IMPORTANT that you Enter and re-enter a password so nobody can cancel your reservation. Do NOT use your UBIT password.

Modifying or Canceling Your Reservation

  1. Click on the reservation time you want to change.
  2. Enter your reservation password.
  3. Make changes or cancel your reservation. If you have checked Send details ... to attendees, they will receive updates.
