Employees: Your UBIT Services Are Changing

See how changes to your official affiliation, such as retirement, leaving UB or lapses in departmental paperwork affect the UBIT services you can access.

Your official affiliation is dependent on having a current faculty, staff or volunteer appointment in records at Human Resources.

Employees Continuing to Work at UB

If you continue to be employed by UB and you receive email that says, "Notice: Your UBIT Services are Changing," your appointment at Human Resources (HR) may have lapsed or there may have been a delay in submitting or processing your new appointment.

What you need to do:

Contact an administrative staff member in your department. Ask them to contact the UBIT Help Center to confirm their intent to renew your appointment and request a temporary extension to allow time for an appointment to be processed.

Once the UBIT Help Center processes their request, your UBITName will retain access to UBIT services up to 60 days pending processing of a new appointment by HR. Once an appointment is processed by HR, your UBITName will retain access to UBIT services for the length of your appointment.

Retirees (State Employees)

What you need to do:

Contact UB Human Resources (HR) to begin the official retirement process. When UB Human Resources changes your status to official retiree:

  • Your UBITName will retain access to many UBIT services, including UBmail. (You must log into your UBmail at least once every 90 days for it to remain active. Forwarding is not considered logging in.)
  • You can no longer download or purchase software licensed through UB.

Retirees (RF and UBF Employees)

What you need to do:

Contact an administrative staff member in your department. Ask them to contact the UBIT Help Center to confirm their intent to allow you to keep your UB email as a retiree.

Once the UBIT Help Center confirms your status with your department and processes the request:

  • Your UBITName will retain access to many UBIT services, including UBmail. (You must log into your UBmail at least once every 90 days to keep it active. Forwarding your email to another email address is not considered logging in.)
  • You can no longer download or purchase software licensed through UB.

Leaving UB (Non-Retirees)

Employees leaving UB who are not retiring retain access to UBIT services until their appointment is terminated by UB Human Resources (HR).

What you need to do:

Update contacts that may be sending email to your UB email address. Once you leave, email messages sent to your UBITName will be returned as undelivered.

Leaving UB and Graduated from UB (Non-Retirees)
