I have a student who took a variable-credit course and registered for the one credit instead of the three. How do I change this to three credits?

The department staff member who has access to the Records and Enrollment module can go into HUB and correct the number of credit hours the student is registered for in a variable credit hour. This can be done by following SR-066 Perform Normal Maintenance on a Student Enrollment Record (PDF) until the end of departmental add/drop.

I have a graduate student trying to register for 18 credits, but HUB is only allowing him to have maximum of 12 credits. What form can be submitted to update the credit range on all of our variable courses to max out at 18 credits?

If the course is coded in the catalog as 1-12 credits, then a Course Action Form (PDF) should be submitted to Katie Darling in the Graduate School for approval to make the class 18 maximum hours.

We used to be able to look in SIS and see which staff member did a force registration so that they could be contacted for further information, if need be. Can you still do this in the HUB?

Yes. Follow the HUB training script View Enrollment Request Search to Audit Enrollment (SR-074) on the training page.

Is there a way to audit the force registration using a username and log in to see when a specific person did a force registration, or how many they have done?

You can do this using the Enrollment Requisite Search function. In the User Id field, enter the UBIT Name of the person who did the force registering followed by “_admin.”

If a student is a “joint major” do they fall under the umbrella of the reserve capacity requirement group of the majors they are doing a joint major with? Or, would the department have to create a reserve cap, requirement group for JOINT majors?

Joint majors should fall under the umbrella of the reserve capacity. If you are unsure as to how your reserve capacities are set up please check with Sara Zeitler to verify all appropriate plans are added.

Why do courses appear red on my student’s weekly schedule?

Time conflicts are what show on the class schedules in red.

I have a student who should be term-activated but is not. Who do I contact to term activate them?

If you have a student who is not term activated but should be, please email HUB-TERM-LIST@LISTSERV.BUFFALO.EDU.

I would like to make a change to the reserve cap on our courses, who would I contact?

If you would like to make a change to the reserve capicities, you would contact your department scheduler to handle this transaction.

If a student tries to enroll in a class for fall 2012 but does not meet the pre-requisites, what message will the student get (I.E. will the message specifically state the pre-reqs that the student needs?)? And, If the student is currently taking the pre-req(s), can the student still register for the required courses as well, or will they have to be forced into the courses?

It does not specifically state what prerequisites a student needs, just that they haven’t met them yet. If a student is in a class, the system considers it as completed in terms of being a prerequisite for a different course. So, if a student is in one course this semester for a class next semester that has that course as its prerequisite, it will allow them to register for it.

How do I have a pre-requisite removed from a course?

Please submit a Course Action Form (PDF) to the Office of the Registrar for undergraduate courses and Katie Darling for graduate courses in order to have this removed.

How do I view catalog numbers higher than the 300 listed?

Fill in the subject area and enter GRAD under the description.

Who do I contact for access to force register a student?

For enrollment access you will need to fill out the Enrollment HUB Access Form.

Is there a way to be able to view or print an enrollment report for all courses in our department which shows number of students enrolled in total, number of students enrolled in each of the reserve groups (for courses that have reserve groups), and number of seats available, in total and for each reserve group (again, for courses that have reserve groups.) How do I do this?

The reports related to classes are those that are available on SIRI; see http://www.apb.buffalo.edu/UBSIS/index.php.

If you need further information that is not provided in this report, you would need to work with your distributed data access representative (PDF). Or you can view the information on Schedule of Classes > Maintain Schedule of Classes > Reserve Capacity tab.

Where can my student find when their registration window is?

On the front page of the HUB student center, on the right hand side, the third box labeled “enrollment dates” will contain the date when you can register, click "details" for the exact appointment information.

Are resign dates earlier for 8 week courses?

Yes. Courses that end earlier have an earlier resign date.

I have a student whose registration window is incorrect; who do I contact to fix this?

If you believe a student’s registration window is incorrect, please contact the Term Activation listserv at HUB-TERM-LIST@LISTSERV.BUFFALO.EDU.

I have a student who wants to transfer from one department to another. Will he be able to change their registration of classes if it is late in the semester?

Registration changes are made on a case-by-case basis. Please submit an Exceptional Registration form to the Office of the Registrar for approval after departmental add/drop has passed.

How do I add a student to my class roster in a graduate seminar? They will need access to UB Learns for the seminar.

You can add a student to your UB Learns Class page by following these instructions. Otherwise, when in the UB Learns page, click on Find Answers Enrollments for Instructors, Students and TAs, "how do I add a user to my course."

I am unable to drop courses because I do not have the DEXR action Reason in Quick Enroll, what do I have to do to have this option?

The only way to have DEXR show up is to select drop on the first tab that comes up in Quick Enroll, enter the five digit class number, click on the “Other class info” tab, and type DEXR in the action reason box.

How can I download the class list as an excel file?

I have accidently assigned an R grade, how do I remove it?

To have an R grade removed please email aps-grading@buffalo.edu with the person number and the course in which you need the grade removed.

I used to have access to the departmental J check stop. Is there something like this in HUB if we wish to block a student from registering within our department?

The J check stop was replaced by the MAJ service indicator. If you had access to the J check stop, you should have access to the MAJ hold. You can check in the Manage Service indicators page in HUB to locate the MAJ (Academic Major Department) hold.

I have a student who I would like to enroll in a class but it is not allowing me due to a time conflict. The time for the course has been sent in to be changed but has yet to be updated in the system, can I override this?

You can register a student into a course that has a time conflict if you have access to the Records and Enrollment module of HUB. In the Quick Enroll function of Records and Enrollment, after you have selected the course, in the “General Overrides” tab there is a “Time Conflict” box. Click in the “Time Conflict” box and then click submit.

I have a student who is taking another semester of Independent Study. When force enrolling them I get the following message “Course previously taken may be subject to repeat policy.” This course is repeatable for credit, how can I enroll them?

If the course is 498 or 499 please email Sara Zeitler in order to have it coded so repeat rules are not enforced on an independent study course. If you are still receiving the errors when attempting to enroll students please fill out the Request Help form (UBITName and Password required) and select SR: Enrollment from the drop down.

I need to register a student for an independent research course for 6 units but the system is only allowing me to register them for 3. How do I fix this?

To address this concern, please fill out a Course Action Form (PDF) and submit it to the Office of the Registrar for undergraduate requests and Katie Darling for graduate requests.

What do I do if I need access to the “Class Roster” portion of curriculum management?

Please fill out the HUB Access Form for Curriculum Management and return it to the office identified on the bottom of the form.

Our department is cancelling a couple of sections for the fall. Do we need to tell students who’ve enrolled to drop the course or will the course automatically be removed from their schedule once it is cancelled officially in HUB?

When you submit a request to central scheduling the students will be automatically dropped from the class. However, please remember to notify students before the class is dropped as this may affect their grants, scholarships, etc.
