Professional employees eligible for overtime will earn overtime for hours worked beyond their normal work week.

Understanding Your Professional Obligation

Communicate effectively with your supervisor to determine your professional obligation.

  • When issued university-owned electronic devices for work use, leave it in the office.
  • Unless previously discussed or pre-approved by supervisor, then you may respond to emails and you will be compensated.
  • Special events outside the normal business hour is compensated.
  • If given a project but cannot finish by the end of your work day, you must continue the following day. Hours worked outside of your normal work day must be pre-approved by your supervisor.

Tracking Hours Worked

Professionals eligible for overtime track hours worked outside of their standard hours using the time sheet for their specific pay source.

Research Foundation Time Sheet

All Research Foundation time reporting is done online at www.rfsuny.org. Employee and manager self-service are accessed using your RF web account.

State Time Sheet

Standard Time Sheet

  • All salaried professional positions at the University at Buffalo work a standard 37.5 hour work week (pro-rated for part-time employees) as agreed upon between a supervisor and an employee.
  • Employee sick, vacation and holiday accruals will be tracked on a monthly basis using the SUNY online time and attendance system.

Tracking Compensatory Time

  • Record work hours for that week only on the overtime voucher found on the HR website
  • Submit the voucher to the supervisor for approval which will then be submitted to HR
  • Balances will be maintained in HR until uploaded into the SUNY time and attendance program expected by the spring 2017

Using Compensatory Time

  • Indicate in the notes section of the SUNY time sheet number of comp time hours used

UBF Time Sheet

  • Employees are required to track their hours worked
  • Time sheets are submitted to and approved by supervisors
  • Departments submit time sheets to UBF for payment
  • Departments track employee hours worked and accruals

Traveling for Business

Example for Tracking Comp Time for Hours Outside the Normal Business Day

  • Employee travel time to conference on a Saturday at 7:00 pm
  • Arrives at destination at 8:00 pm
  • Conference starts on Sunday at 12 noon
  • Conference runs until 5:00 pm Sunday
  • Conference starts on Monday at 7:00 am
  • Conference runs until 5:00 pm
  • Travel time home is from 7:00 am until 8:00 am on Tuesday   

Example for Tracking Comp Time for Hours During a Normal Work Week

  • Employee has a 3-day conference
  • Employee travel time to conference on a Tuesday at 2:00 pm
  • Arrives at destination at 6:00 pm
  • Conference begins on Tuesday at 7:00 pm until 10:00 pm
  • Employee has the same conference on Wednesday and Thursday at the same time
  • Travel time back home is from 11:00 pm until 2:00 am on a Thursday going into Friday
  • Travel time to conference was from 2:00 pm until 6:00pm on a Tuesday   

Contact HR with your travel itinerary before you travel to talk about what time is compensatory time.

Understanding State Compensatory Time

State professional employees eligible for overtime earn comp time that can be used with advance supervisor permission.

All State employee OT hours will be identified as comp time:

  • Can carry up to 240 hours of comp time that carries over each year
  • Over 240 hours – paid in cash
  • Comp time displayed in SUNY Time & Attendance
  • Hours worked between 37.5 - 40 are accrued hour for hour
  • Hours worked greater than 40 are accrued at time and a half
